Someone brought a laptop to the community center lobby, a stack of paper waivers sits by the sign-in sheet, and a staff member is texting the pool supervisor to ask whether swim lessons are actually full. By Friday the deposit does not match the roster and nobody can say which of the two is wrong. Recreation registration software exists to end that Friday. ## The plain definition Recreation registration software is the system a parks and recreation department, club, or league uses to publish its programs, take signups and payment for them, and keep the record of who is enrolled in what. Everything else it does grows out of that record. In practice, a working system handles program and league signups with waitlists, collects electronic waivers, takes payment and reconciles it back to each registration, holds household and member records across seasons, books facilities and rentals against the same calendar the programs use, and produces the revenue reports you take to a council or a board. Departments do it every year, and it often works until the second week. A general-purpose form builder typically does not know that a program has a capacity, so it may accept the twenty-first signup for a twenty-seat class. It may not know that the same family is registering three children, so you get three unrelated records. It may not carry a waitlist that promotes automatically when someone withdraws, tie a refund back to the original payment, or know that the class conflicts with a facility already reserved. Check each of these against the specific tool you are considering. Event ticketing tools are closer, but they are built around one-time admissions. Recreation runs on recurring sessions, seasonal households, prorated and partial refunds, resident and non-resident pricing, and membership that gets priority in registration. If your finance office rebuilds that link by hand each month, the system is not doing its job. Fee structure matters here too, because states treat card surcharges and service fees differently. In Washington, the [MRSC guidance](https://mrsc.org/explore-topics/finance/accounting/credit-card-acceptance) says surcharges "may only be applied to credit cards, not debit cards or prepaid cards" and are "capped at 4% of the transaction." In Texas, the state's local retention schedule lists waivers of liability at [3 years from cessation of the activity](https://www.tsl.texas.gov/slrm/localretention/schedule_pw) the waiver was signed for, kept for the accident-report retention period (item GR1000-20) if an accident occurs to a person covered by it, and lists program files at 2 years. Retention schedules differ by state, so pull yours. **Household records, not individual accounts.** One adult, several children, shared payment method, shared history. Systems built around single users make guardians re-enter everything and make your data harder to use for planning. **Facility conflicts caught at booking.** The gym cannot hold a rental and a league practice at the same hour. The system should refuse it, not surface it in a phone call on Saturday morning.
