# 5 Signs Your Growing Recreation Program Has Outgrown Its Software

You're not losing sleep over registration anymore. You have a platform, payments come in online, and most seasons run without a major fire drill. So why does running the program feel harder than it did three years ago with fewer participants? Often it is a growth problem: tools that fit a small program strain when the program gets bigger. Here are five signs, and a way to check them. For background, see [what recreation registration software does](https://www.recreationhq.net/playbook/what-is-recreation-registration-software).

## Sign 1: Staff spends more time reconciling data than using it

You run registrations through one platform, collect payments through another, track memberships somewhere else, and reconcile facility bookings in a spreadsheet only one person understands. Staff time is a large cost: [NRPA's 2024 Agency Performance Review](https://www.nrpa.org/siteassets/research/2024-agency-performance-review.pdf) reports a median of $110,912 in operating expenditures per full-time equivalent employee. That is an agency-wide benchmark, but it shows why hours lost to reconciliation are worth measuring. **Diagnostic question:** how long does it take to answer "How many participants are registered for fall programs, and how many have paid?" If it takes more than a few minutes, you have a fragmentation problem. Our guide to [making registration and finance reconcile](https://www.recreationhq.net/playbook/parks-rec-accounting-software-integration) covers fixes.

## Sign 2: Registration spikes overwhelm your process every season

Every year, in the first couple of days after popular programs open, something breaks. Systems slow, staff field calls from families who cannot finish registering, and you process duplicates by hand. Retail research offers a rough comparison: [Baymard Institute](https://baymard.com/lists/cart-abandonment-rate) reports that 17% of US online shoppers have abandoned an order because of a "too long / complicated checkout process." That is e-commerce data, not recreation data. As a hypothetical, if a program with 1,500 participants lost even 10% of sign-ups to friction, 150 families would be affected. The [registration friction audit](https://www.recreationhq.net/playbook/registration-friction-audit) shows where to look.

## Sign 3: You can't answer basic financial questions in real time

If your finance director asks "What is our cost recovery rate for the fall soccer program?" and the honest answer is "I'll have that by end of week," you have a data problem. A connected system can surface cost recovery, revenue per participant, and program fill rates on demand. If yours can't, you are making budget decisions with an old map. See [what NRPA's cost recovery data shows](https://www.recreationhq.net/playbook/25-percent-cost-recovery-standard-nrpa) for a benchmark to compare against.

## Sign 4: Your best staff member is the system

In many growing programs, one person carries knowledge no system holds: how the scholarship program works, where exception approvals are tracked, which families have old balances. That person is invaluable and also a single point of failure. If your software can't replace that knowledge with structured data, you may have outgrown it.

## Sign 5: You're adding workarounds faster than you're solving problems

Count the workarounds your team uses in a typical week: the Google Sheet beside the software, the email thread that substitutes for a missing feature, the phone call that replaces a confirmation that never works right. Workarounds compound. Each adds overhead and error risk, and signals that the program is serving the software instead of the reverse. **Diagnostic question:** has your list of workarounds grown or shrunk in the past two years? If it has grown, take that seriously.

## What to do about it

Start with an honest audit. Document every workaround, estimate the staff hours each consumes, and multiply by your own loaded hourly cost. The total is your own number, and it is the business case for an upgrade. When you are ready to compare options, use the [vendor demo scorecard](https://www.recreationhq.net/playbook/recreation-software-demo-scorecard) and the guide to [data migration and go-live](https://www.recreationhq.net/playbook/recreation-software-data-migration-golive).

## Frequently asked questions

### How do I know if my recreation software is outdated?

Look for workarounds: side spreadsheets, manual reconciliation between registration and payments, and reports that take days instead of minutes. If your list of workarounds is growing each year, the software is likely no longer fitting the program. Our [cost breakdown guide](https://www.recreationhq.net/playbook/recreation-software-cost-breakdown) helps you price a replacement.

### How much does staff time cost a parks and recreation agency?

[NRPA's 2024 Agency Performance Review](https://www.nrpa.org/siteassets/research/2024-agency-performance-review.pdf) reports that the median operating expenditure per full-time equivalent employee is $110,912. That is a benchmark for the whole agency, not the cost of one task, so use your own payroll figures to price your workarounds.

### What should I do before replacing recreation software?

Audit first. List every workaround, estimate the weekly staff hours each one takes, and multiply by loaded hourly cost. Then use the [demo scorecard](https://www.recreationhq.net/playbook/recreation-software-demo-scorecard) to compare vendors against the gaps you found.

### Can registration problems cost us participants?

Possibly. [Baymard Institute's checkout research](https://baymard.com/lists/cart-abandonment-rate) found that 17% of US online shoppers have abandoned an order because of a "too long / complicated checkout process". That is retail data, not recreation data, but it shows why a slow or confusing sign-up flow is worth testing.
